The Neighborhood Administrator focuses on administration of the each property’s operations and work space activities. The Neighborhood Administrator monitors and assists financial transactions for each property and supports/reports to the Neighbor Director. Responsibilities also include assisting the leasing team with neighbor retention and providing a quality living experience for the neighbors, and assisting in all administrative duties. Many of the responsibilities have an emphasis on the ability to create and analyze reports. This position has a bonus potential of 3%.

Essential Functions:

Financial and Accounting Responsibilities – Prepares delinquency reports, month end reports, manages invoices and bills through centralized invoicing system, processes rent and other payments, assists in the preparation of monthly, quarterly, and year end financial reports, and processes final account statements for Neighborhood Director’s review. Assists in monitoring the income statements, balance sheets, and accounts receivable reports.

Leasing Administration – Assists in maintaining occupancy goals as defined by the operating budget and management plan for each Neighborhood. Provides secondary support for the leasing team in qualifying future neighbors, verifying applications, performing credit investigations, and creating all associated documentation accompanying the rental agreements in a timely and accurate fashion for the Neighborhood Director’s approval. Acquaint new neighbors with leasing documentation, Neighborhood specific rules, policies, apartment functions and emergency procedures to ensure neighbor satisfaction on move-in. Enter all necessary data into Neighborhood management software;

Daily Operations – Assists the Neighborhood Director with timely collection of rents, banking activities, documentation of all transactions, Neighbor file documentation, corporate living programs, application and rental documentation and tracking, preparation of collection documents, filing evictions, court appearances and preparing and delivering notices. Responsible for assisting the Neighborhood Director in meeting revenue goals, occupancy management as described in the annual operating plan, and neighbor retention. Knowledge of local ordinances which affect each Neighborhood’s operations including rent control documents and security deposit issues. Perform deposits, adjustments, renewals and cancellations.

Upholding Standards - Perform additional duties and handle projects as assigned by the General Manager and/or Neighborhood Director. Achieve regular attendance in conformity with standards. Comply fully with all Prometheus Real Estate Group rules and regulations for the safe and effective operation of the Prometheus Real Estate Group’s facilities. Additional tasks as may be assigned from time to time by the Principal or others at the Principal’s direction. Travel will be required based upon the Neighborhood’s needs.

 

 

Required Qualifications, Skills, And Experience:

The individual must possess the following knowledge, skills, and abilities (or some other combination of knowledge, skills, and abilities) and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation:

 

  • High school diploma or general education degree (GED). Bachelor’s degree preferred.

 

  • One year of property management experience is required

 

  • Must have basic bookkeeping experience

 

  • Working knowledge of eviction law, Fair Housing mandates, and other legal issues affecting property management

 

  • Effectively present information and respond to questions from groups of managers, clients, Neighbors, and the general public.

 

  • Must possess basic computational skills; add, subtract, divide, and multiply. Must have the ability to compute rate, discounts, interest, and commissions. Must be able to prepare and analyze data figures and transcriptions generated by a computer

 

  • Computer proficient in Windows, MS Office, Word, Excel, Outlook, OneSite and the Internet. Ability to type 40+ wpm.

 

  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems involving several concrete variables in standardized situations

 

  • Ability to speak, communicate, read, write and understand the primary languages used in the workplace including, but not limited to, English in order to maintain safety in the workplace and serve internal and external customers.
